QUALIFICATIONS AND DUTIES OF THE POSITIONS ON THE BOARD OF DIRECTORS

President

1. Be able to pass “Background Check” to serve as Board Member of the Association
2. Must be Computer Literate
3. Facilitate leadership of the Association and care and maintenance of the cemetery by the Board of Directors
4. Assist other Board Officers and Directors at Large with the accomplishment of their duties, as needed or required.
5. Preside over annual meetings of the general membership.
6. Preside over meetings of the Board of Directors.
7. Communicate with leaders and volunteers of similar cemeteries, whenever possible, to gather and/or share information of interest or value to Stearns Cemetery.
8. Be designated signer for the association’s checking accounts.
9. Sign appropriate documents as the representative of the cemetery and/or the Board of Directors.

Vice President

1. Be able to pass “Background Check” to serve as Board Member of the Association
2. Must be Computer Literate
3. Attend Board Meetings and General Membership Meetings.
4. Serve as back up to and assume duties of the Associate President in his/her absence.
5. Serve as back up to the Sexton for burials, funerals, etc.
6. May be designated as a signer of the checks at the discretion of the Board.
7. Take responsibility and volunteer for special projects or research issues as they arise.
8. Assist with planning, set up, etc. for Annual Clean Up Day and Membership Meeting.
9. Other duties as assigned.

Secretary

1. Be able to pass “Background Check” to serve as Board Member of the Association
2. Must be Computer Literate
3. Know how to work within Excel and Word documents.
4. Attend Board Meetings and General Membership Meetings.
5. May be designated as a signer of the checks at the discretion of the Board.
6. Take and transcribe minutes for the Board or Director’s meetings and Annual General Membership meetings.
7. Distribute the minutes from the Board meetings to the Board members via e-mail.
8. Maintain plot map information on the computer.
9. Maintain membership mailing list on the computer.
10. Maintain computer generated check lists (Sextons Report)
11. Maintain interred alpha listings records.
12. Maintain other records which include Interment Authorization Certificate, and Plot Certificate records and Obituary notices.
13. When there is a burial/cremation at the Cemetery you must update

* Block Map
* Map index of Interred
* Mailing List
14. Other duties as assigned.

Treasurer

1. Be able to pass “Background Check” to serve as Board Member of the Association.
2. Must be Computer Literate.
3. Attend Board Meetings and General Membership Meetings.
4. Be a designated signer for the association’s checking accounts.
5. Make all deposits to the checking account and pay bills.
6. Maintain records of bank statements.
7. Provide written reports of cemetery and association finances to the board at Board meetings and Annual Membership meetings.
8. Take payments for burial sites and maintain plot certificate records.
9. Maintain the Death Certificate records along with obituary notices and our sexton reports.
10. Other duties as assigned.

Directors

1. Be able to pass “Background Check” to serve as Board Member of the Association.
2. Must be able to send and receive e-mails.
3. Attend Board Meetings and General Membership Meetings.
4. Assist in making decisions re: operation and maintenance of the Cemetery.
5. Other duties as assigned.

Sexton
1. Must be able to send and receive e-mails
2. Check records for plot number and ownership
3. Verify grave is empty and person is authorized to be buried
4. Confirm with grave digger the plot number
5. Mark the grave
6. Meet gravedigger to inspect grave depth
7. Meet with mortuary or family before service to sign papers
8. Check tag number against number on coffin/urn
9. Inspect grave has been properly covered after service
10. Deliver Sexton Report to Secretary
11. Contact family regarding placement of grave marker
12. Mark placement of grave marker
13. Take photo of grave and grave marker for records and send to Secretary
